Volunteer & Operations Coordinator

Location: Austin, Texas (On-site; in-office and fieldwork required)

Hours: 25 hours/week (includes occasional weekends and evenings)

About Pop-Up Birthday

Pop-Up Birthday is a small nonprofit based in Austin, Texas. Our mission is to provide joy, hope, and normalcy to children in foster care through a personalized birthday experience. Serving Austin and surrounding counties, we are committed to ensuring every child feels seen and celebrated on their special day. As we grow, we’re looking for a dynamic individual to join our team with a focus on volunteer management, operational support, and social media.

Job overview

This position is integral to our mission, overseeing volunteer recruitment and coordination, assisting with daily operations, and supporting our social media presence. This role requires a hands-on, in-office presence, and flexibility to attend offsite events.

Key responsibilities

Volunteer Management & Coordination (40%)

  • Recruit, manage, and engage volunteers—both individuals and groups.
  • Organize, schedule, and oversee all volunteer activities, including staffing and leading volunteer events.
  • Attend offsite events and manage volunteer support as needed; occasional nights and weekends required.
  • Foster strong relationships with volunteers, ensuring a rewarding and impactful experience for each participant.

Operations Support (40%)

  • Assist the Operations Manager with the preparation of personalized birthday boxes.
  • Coordinate registry orders, organize inventory, and help streamline the box preparation process.
  • Supervise volunteers in-office during box assembly to maintain quality and consistency.

Social Media & Content Creation (20%)

  • Create and post content across Facebook, Instagram, and TikTok, helping to build awareness of our mission and events.
  • Develop engaging social media posts that highlight our impact, volunteer stories, and community events.
  • Monitor engagement and respond to comments/messages to foster a supportive online community.

Qualifications

  • Proven experience in volunteer coordination, event management, or related field.
  • Strong organizational skills with the ability to manage multiple projects and deadlines.
  • Proficiency with social media platforms, including Facebook, Instagram, and TikTok.
  • Creative content creation skills, including writing, photography, and basic graphic design.
  • Passion for helping children and supporting nonprofit work.
  • Ability to work evenings and weekends as required.
